Job Description

Overview
The Special Events Coordinator, based in New York office. This role is responsible for planning and executing client-facing events-virtual, on-site, and off-site-to support business development and firmwide initiatives.


Responsibilities

  • Coordinate and execute a variety of client events, including webinars, CLE programs, receptions, dinners, and firmwide retreats.

  • Develop communication plans for each event, monitor RSVPs, coordinate website and social media postings, and implement targeted outreach strategies to maximize attendance.

  • Create and manage event invitations and communications through invitation platforms, and manage RSVP tracking via CRM systems.

  • Oversee event logistics, set objectives, define responsibilities, establish budgets, and conduct pre- and post-event evaluations, including attendance, budget performance, and participant feedback.

  • Research, negotiate, and contract venues and vendors, maintaining strong working relationships.

  • Build and maintain registration websites and mobile applications for firmwide events.

  • Coordinate and produce onsite materials, signage, tent cards, and name badges.

  • Assist with client gift ordering and inventory management.

  • Manage firm-specific assets, such as season tickets.

  • Collaborate with the Business Development Team on exhibit booth logistics for industry events.

  • Coordinate with internal departments, including Operations, IT, and conference services, to ensure seamless event execution.
Qualifications
  • Bachelor's degree required; preferred fields include Marketing, Business, Communications, Event Management, or Hospitality.

  • Minimum of one year of events experience, preferably in a professional services or law firm environment.

  • Proficiency in Microsoft Word and Excel; experience with Vuture, InterAction, Zoom, and Cvent preferred.

  • Strong verbal and written communication skills, including professional correspondence with clients.

  • Excellent organizational skills and attention to detail; ability to manage multiple projects and shifting priorities.

  • Ability to build strong working relationships with attorneys and staff, listening carefully and clarifying needs as necessary.

  • Flexibility to work early mornings, evenings, weekends, and travel as needed.

  • Strong client service orientation and problem-solving skills.

  • Enthusiastic, self-motivated, and able to work effectively under multiple layers of supervision.
