Job Summary:
The Print Workflow Coordinator handles printing, finishing processes, opening/closing procedures, counter/phone sales for house accounts, and processing all orders for delivery or will call. This role is crucial to the overall job flow of the location and involves operating high-volume printers, light finishing equipment and cutters, ensuring quality control, managing customer print orders efficiently, and processing each job through ShopVox.
Qualifications & Skills:
• Proficiency with digital printing and copying equipment.
• Familiarity with software (Adobe Acrobat, Microsoft Office, ShopVox) is a plus.
• Strong attention to detail and ability to maintain quality standards.
• Good time management and multitasking skills in a fast-paced environment.
• Excellent customer service and communication skills.
• Ability to lift 50lbs, consistently which may include moving print materials, vinyl, production machines, etc. Ability to work on your feet for several hours at a time.
• Valid driver's license without restrictions, ability to operate heavy equipment and qualify for company automotive insurance policy.
Key Responsibilities:
• Front counter management, including receiving orders from customers, accepting and processing payments, answering phone calls and emails in a timely manner.
• Operate digital printers and finishing equipment (laminators, binders, cutters, etc.).
• Process print jobs according to Sales Order specifications.
• Coordinate deliveries with delivery driver and calling customers with will call orders to coordinate pickups.
Additional Responsibilities
Sales Order & Customer Management:
• Receiving orders from the front counter or over the phone from new or house accounts. Send quotes (within 24 hours, if applicable), designs, design changes, receive payments, outsource or print. Must ensure a timely and quality customer experience. Updating the Sales order in ShopVox, converting it to Invoice when complete, and recording payment.
• Receiving orders from Sales Team for in-house Printing. Following instructions, using the approved files, ensuring all information is in the Sales Order: Contact Info, Due Date, Delivery Options, and job specs. Communicate with Sales Rep over any job issues or job completion. Deliver, ship, or set for will call based on Sales Order Instructions.
• Receiving orders from Sales Team for Outsourcing. Ensure all information on the Sales Order is correct: Contact Info, Due Date, Delivery Options, and job specs. Communicate with Sales Rep if the job has not arrived by the due date. When received, re-box and label to MDS standards and set for Delivery or Will Call based on Sales Order Instructions.
Print Production:
• Operate digital printers and finishing equipment (laminators, binders, cutters, etc.).
• Process print jobs according to Sales Order specifications.
• Perform routine maintenance on printers and finishing equipment.
• Troubleshoot minor printing and equipment issues.
• Monitor and manage inventory of paper, ink, and other materials, restocking as needed.
• Keep the production area organized and free of clutter.
Quality Control & Finishing:
• Inspect prints for color accuracy, alignment, and defects before delivery.
• Finishing and bindery tasks such as cutting, folding, laminating, and binding.
• Ensure all print jobs meet company and customer quality standards.
• Take pictures of all finished print, promotional and apparel items before final packaging. Upload photos to the MDS Google Drive. Photos should be “Instagram ready” free of glares, and staged or photographed in light box, to be easily used for social media posts, print marketing or website.
Front Counter, Production Area & Lobby
• Make sure the lobby is clean and welcoming. Vacuum, clean door glass, empty trash cans as needed.
• Maintain apparel/promo display. Dust and keep it organized. Add/remove items as needed.
• Keep the area behind the front counter organized so that keys, samples and swatches are easy to locate.
