We are looking for a detail-oriented Office Coordinator to join our team on a contract basis in Westbrook, Maine. This role is vital to ensuring smooth operations across multiple departments and locations within our organization. The position requires strong organizational skills, multitasking abilities, and a welcoming demeanor to support both internal staff and external visitors.

Responsibilities:

• Serve as the primary point of contact for reception duties, welcoming visitors, and managing sign-in/sign-out processes for agency classes and events.

• Provide support and guidance to guests, ensuring they are directed to the appropriate locations and resources.

• Manage incoming and outgoing mail, including sorting, distributing, and handling postage for various departments.

• Track and verify package deliveries, ensuring accuracy and timely distribution.

• Maintain multiple calendars for scheduling conferences and meetings using Microsoft Office Suite.

• Ensure all office operations run smoothly, addressing any logistical challenges that arise.

• Support the coordination of resources and materials.

• Collaborate with other departments to streamline administrative tasks and improve efficiency.

• Proficiency in Microsoft Office Suite, particularly in managing calendars and scheduling.
• Previous experience in receptionist duties or front office coordination.
• Strong organizational skills with the ability to multitask in a fast-paced environment.
• Excellent communication skills and a friendly, detail-oriented demeanor.
• Ability to manage incoming mail and packages efficiently.
• Experience with ordering platforms or supply chain coordination is preferred.
• Familiarity with working in a non-profit setting is a plus.
• Ability to handle sensitive information with discretion and attention to detail.
