Job Summary
We are seeking a dedicated and detail-oriented  Administrative Office Coordinator to join our dynamic team. The ideal candidate will play a crucial role in Customer Service and working with clients on a daily basis, ensuring timely and efficient service. This position requires strong communication skills, analytical abilities, and proficiency in various systems.

Key Responsibilities:

Service Support:

  • Serve as the main point of contact for customers regarding service- related inquiries, ensuring issues are resolved promptly.
  • Coordinate with the service engineers to schedule installations, repairs and routine maintenance for machinery.
  • Coordinate travel for service engineers with assistance from a travel agency.
  • Manage office calendar to keep everyone informed
  • Ensure that service requests are tracked and processed using CRM software, providing customers with status updates.
  • Updating customer cases with service reports from service engineers
  • Following up with customers monthly
  • Assist in managing service contracts, and post service follow-up to ensure customer satisfaction.
  • Create service call quotes and invoices

Logistics Support:

  • Coordinate with suppliers, customers and internal teams to manage the logistics of machinery deliveries.
  • Keep customers informed
  • Track shipments and ensure timely delivery of products to customers.
  • Collaborate with the warehouse team to manage the picking, packing, and shipping processes.

Qualifications :

  • Strong understanding of logistics, including shipping, inventory management and supply chain coordination.
  • Excellent communication skills, both written and verbal, with a focus on accuracy and detail.
  • Strong problem-solving skills
  • Ability to prioritize tasks in a fast-paced environment.
  • Prior experience in manufacturing machinery, or related is a plus

Preferred Qualifications:

  • Bachelor’s degree
  • Equivalent experience can be considered
